GoHighLevel System Build

One system that runs your shop — from first call to five-star review.

This is your live build plan, Tyler. It lays out exactly what we're putting together inside GoHighLevel, the order we're building it, and what's done so far. Bookmark it — we update it as we go.

The strategy in one line

Everything we build does one of two jobs: get more cars in the bay, or earn more per car.

We're starting with the foundation and your existing customer list, because that's the fastest money and it costs nothing in ad spend. Ads come once the system underneath is airtight, so every click lands somewhere that actually books.

How it all connects

Your customer journey, automated end to end

A lead comes in, gets handled instantly, books, gets reminded, and the moment the job's done it asks for the review and sends the invoice. You stay in the truck — the system does the front desk.

📲
Lead comes in
Website form, phone call, or Google ad → lands in your pipeline and gets an instant text back with a booking link.
📅
Books on your calendar
Picks a service and a time. The booking is tied to the right product + price by vehicle size.
🔔
Reminders go out
Automatic text / call / email at 24 hours and a couple hours before, so they know you're coming.
🚗
You arrive → "Onsite"
You flip the job to Onsite and it auto-texts the client "he's here."
Job done → "Finished"
Marks complete, sends the invoice, and ~30 minutes later asks for a Google review — only if they haven't left one yet.
💸
Tracked as revenue
Every job runs through Opportunities so you see real revenue per car, not guesses.
🔄
Quiet customers come back
Anyone who goes cold drops into a reactivation list we hit with a seasonal special.

One thing to decide together

How do you want booking to work?

The end goal is your customers booking themselves online — you send a link, they pick a service and a time, it lands on your calendar. But for right now you might want to be the one putting jobs on the calendar while you get a feel for it. Both work, and we can switch whenever you're ready. Which do you want to start with?

🅰  Customers book themselves

We give you a booking link for your website, texts, and Google. They pick a service + time and it auto-lands on your calendar with all the reminders running.

🅱  You book them, for now

You put jobs on the calendar as calls and texts come in. Same reminders, invoicing, and review requests still fire — you just keep your hand on the schedule. We flip on self-booking whenever you say go.

Tell us which to start with (or both) and we'll build the calendar that way.

The build plan

Five phases, in priority order
Done In progress Up next Later
Phase 1 · Foundation & connections get the account clean, correct, and connected
In progress
  • Fix the CRM phone number (still set to an old North Carolina line) so texts + call tracking use your real number
  • Confirm Square is connected and taking payment
  • Connect your accounts — accept the GoHighLevel, Google Analytics, and Search Console invites
  • Clean out leftover test data from the old setup
Phase 2 · Your system, built end to end the core — pipeline, pricing, calendar, invoicing
Up next
  • Pipeline built out — every job flows lead → quoted → booked → onsite → done → paid
  • Automations + a simple diagram so you can see what fires at each stage
  • Your full service menu + pricing built out in GoHighLevel, with Square connected so you can charge and invoice in one place
  • Calendar set up to book your services, tied to that pricing
  • Invoicing from GoHighLevel — finish a job, send the invoice, track who's paid
  • Onsite + Finished triggers (auto-text on arrival, review request after)
  • Revenue tracked per car through Opportunities
Phase 3 · Wake up your customer list your 500+ contacts, working for you
In progress
  • Imported your full Florida customer list into the CRM (186 added)
  • Cleaning up duplicate contacts so nobody gets texted twice
  • You pick a summer special → we build a landing page + send it to your whole list
Phase 4 · AI call assistant so no call ever gets missed
Later
  • An AI assistant that answers, knows your services, quotes, and books — then hands off to you to close
Phase 5 · Ads framework first, ads second
Later
  • Connect your Google Ads account + dial in conversion tracking
  • Optimize your existing Google Local Services Ads
  • Run Google / Facebook ads once the funnel underneath is proven

Your homework

5 quick things from you to keep us moving

None of these are heavy — knock them out when you get a minute and we keep building.

1Phone number

Confirm 941-241-2411 is the number to run everything through, or we set up a dedicated tracking number that forwards to your cell.

2Square access

Give us access (or confirm it's connected in GHL) so we can test that payments + invoices go through.

3Google Business Profile

Add us as a manager so we can wire up your reviews and keep it posting.

4Accept your invites

You're not showing as a user in GoHighLevel yet — accept the GHL + Google Analytics invites so it's all under your name.

5Pick a summer special

Decide the offer for your customer list — a discount, a free add-on, a summer ceramic deal — and we'll build it.

+Google Ads

When ready: confirm who runs your Local Services Ads now, your budget (~$500/mo?), and a start date.
